2. Project Files & Design Information

Project information may occasionally include information relating to another person, property, business or organization.

3. Project File Care & Availability

We understand that project information can remain useful after the design itself has been delivered.

For this reason, The Shape Interiors will take reasonable care of relevant project materials for 180 calendar days following completion and final delivery of the project by The Shape Interiors.

This period may include materials such as:

  • Client-provided reference files
  • Measurements and dimensions
  • Drawings and plans
  • Project photographs and videos
  • Design-development materials
  • Relevant source or working files maintained internally by The Shape Interiors
  • Final design files and renders
  • Other project information reasonably associated with the completed engagement

The 180-day period is a file-care and availability period. It is not an automatic deletion date.

We may continue to retain some or all project information after the 180-day period. However, after that period, The Shape Interiors does not guarantee the continued storage, preservation, retrieval or availability of project materials.

If you contact us after the 180-day period and the relevant project materials remain available, we may be able to assist subject to the applicable service terms, availability, scope and charges.

If the required files or information are no longer available after the 180-day period, The Shape Interiors is not responsible for restoring, recreating, recovering or reproducing them.

Separate Support & Revision Periods

The 180-day project-file care period does not extend any included revision or implementation-support entitlement.

Complimentary revisions remain subject to the applicable 40-calendar-day revision window, and included implementation and contractor support remain subject to the applicable 90-calendar-day support window, as described in our Service Policy.

Continued file availability therefore does not mean that additional design work, revisions or support remain complimentary.

4. Requests to Delete Project Information

You may contact The Shape Interiors to request deletion of personal information or project materials relating to you.

Where the information can appropriately be deleted, we will process a valid deletion request promptly. Once the requested project materials have been deleted, the 180-day project-file care period no longer applies to those materials, and The Shape Interiors will have no responsibility for their continued storage, availability, retrieval, recovery or reproduction.

Once project information has been deleted following your request, The Shape Interiors is no longer responsible for maintaining, retrieving, recovering, recreating, reproducing or providing the deleted materials.

This means that if you later require renders, references, measurements, project files, working information or other materials that were deleted at your request, those materials may no longer be available.

Where new work is possible without the deleted information, it may require a new scope, new information, additional time and applicable charges.

Information We May Still Need to Retain

A deletion request does not necessarily require us to delete every record connected with an engagement.

We may retain limited information where reasonably necessary for legitimate business, accounting, financial, contractual, security or legal purposes.

This may include records such as:

  • Invoices
  • Payment and transaction records
  • Refund records
  • Subscription transaction history
  • Policy acceptance records
  • Proposal or contractual records where continued retention is reasonably necessary
  • Records relating to an active or reasonably anticipated dispute
  • Information required for accounting, regulatory or legal purposes
  • Records reasonably necessary to establish or protect legitimate rights

Where information must appropriately remain, we aim to retain only what is reasonably necessary for the relevant purpose.

The information available to us therefore depends on the payment method and provider involved.

We may retain appropriate transaction information even after other project information has been deleted where that transaction record remains reasonably necessary for financial, accounting, contractual, dispute-resolution or legal purposes.

If you purchase a 3D Modelling subscription, we may maintain information necessary to administer the subscription.
