Clear, Fair Terms When Plans Change

We understand that circumstances can change. This Refund & Cancellation Policy explains how cancellations, refunds, subscription renewals and early endings are handled by The Shape Interiors.

Our approach is simple. Where professional time, scheduling capacity and design resources have already been committed, those commitments are taken into account. Where work has not begun, or where The Shape Interiors is unable to provide an agreed service, we assess the circumstances fairly and provide an appropriate resolution.

This policy applies alongside our Terms & Conditions, Service Policy and Privacy Policy, together with any applicable Proposal, Invoice or service-specific terms presented before payment.

1. General Refund Principles

All services provided by The Shape Interiors are 100% prepaid before the applicable work begins.

A payment confirms your project, service or subscription and allows us to allocate professional time, scheduling capacity and resources accordingly.

Refund eligibility therefore depends on the stage of the engagement and the circumstances surrounding the cancellation.

2. Cancelling Before Work Begins

If you request cancellation before work or project allocation has begun, The Shape Interiors will review the status of your engagement and determine whether your payment, or an eligible portion of it, can be refunded.

There is no automatic cancellation period simply because a payment has been completed. Refund eligibility depends on whether professional time, scheduling capacity, preparation or other resources have already been committed to your project.

Where no substantive work or allocation has taken place, we will assess the cancellation fairly and communicate the applicable resolution.

3. Cancelling After Work Begins

Once project allocation or substantive work has begun, payments are generally non-refundable.

This is because your payment does more than purchase the final deliverables. It also reserves professional time and design capacity and supports the research, planning, communication, development and other work required to deliver your project.

If you decide not to continue after work has begun, any work already completed and resources already committed will be taken into account when assessing the engagement.

4. Change of Mind

We want every client to feel confident before proceeding.

For this reason, we encourage you to review our portfolio, services, process, pricing, Proposal and applicable policies before making payment.

A change of mind after payment, a decision not to proceed, failure to use the purchased service, or a change in personal or business circumstances does not automatically create a right to a refund.

Similarly, design is inherently creative and subjective. A difference in personal preference does not by itself establish refund eligibility where The Shape Interiors has provided the agreed professional service within the confirmed brief and scope.

Our included revision process exists to provide reasonable room for refinement within the confirmed design direction.

5. Missed Consultations & Meetings

If a scheduled Consultancy session, project meeting or other appointment is missed by the client, the payment is not automatically refundable.

Where possible, we may allow the meeting to be rescheduled depending on the circumstances and current availability.

Repeated missed appointments, significant delays or failure to participate in the agreed process may affect the project schedule and may require rescheduling according to current availability.

6. Delayed or Inactive Projects

Projects depend on timely information, feedback and approvals from both sides.

If required feedback, approval or project information remains outstanding for more than 7 working days, the original project schedule may be affected and the work may need to be rescheduled.

If the required response remains outstanding for 30 calendar days, the project may be placed into inactive status.

An inactive project is not automatically cancelled or refunded.

If you later return to continue the project, resumption will depend on current availability. A revised timeline or additional charges may apply where reactivation, changed requirements or additional work is required.

7. Monthly Subscription Cancellations

Our monthly 3D Modelling subscriptions have no minimum long-term commitment and no monthly cancellation fee.

Subscriptions are currently renewed manually. If you do not wish to continue, you may simply choose not to pay for and activate the next billing cycle.

Once payment for a billing cycle has been made and that billing cycle has begun, the payment for that cycle is non-refundable, whether all, part or none of the available 3D Modelling capacity is ultimately used.

Unused capacity also does not carry forward into another billing cycle.

8. Annual Subscription Cancellations

Annual subscriptions provide additional value in return for prepaying the selected subscription for twelve months.

Choosing annual prepayment does not mean you are permanently locked into the full twelve months.

If an annual subscription ends early, the annual pricing benefit is removed from the portion of the subscription already used.

Each billing cycle that has begun is recalculated at the selected plan’s standard monthly rate.

The total value of those billing cycles is then deducted from the amount originally prepaid. The remaining eligible prepaid balance is refunded.

The billing cycle in which cancellation occurs is counted in full. A future billing cycle that has not yet begun is not charged.

9. How Annual Refunds Are Calculated

The annual subscription structure is as follows:

If the annual subscription is completed normally, you receive the full annual benefit.

If it ends early, the billing cycles already begun are charged at the standard monthly rate rather than the discounted annual equivalent.

Example: Business Annual Subscription

A Business subscriber prepays USD 20,000 for the annual subscription.

If the subscription ends after three billing cycles have begun:

The eligible refund would therefore be USD 14,000.

Cancellation During an Active Billing Cycle

A billing cycle is treated as used once it has begun.

For example, if your billing date is the 7th of each month and you cancel on the 6th before the next billing cycle begins, that future cycle is not counted.

If you cancel after the new billing cycle has already begun, that billing cycle is included in the calculation at the standard monthly rate.

This structure allows annual subscribers to leave early while ensuring that the annual pricing benefit applies only when the annual arrangement is maintained.

10. Unused Subscription Capacity

Subscription payments provide access to a defined amount of 3D Modelling capacity during each active billing cycle.

Unused capacity does not have a separate cash value and is not refundable.

This applies to both monthly and annual subscriptions.

Annual prepayment also does not create one combined annual pool of square footage. Capacity remains allocated by individual billing cycle and resets according to the selected plan.

11. Upgrades & Additional Capacity

A mid-cycle subscription upgrade does not create a new billing cycle.

The original billing date remains unchanged, and capacity already used during the billing cycle remains deducted from the upgraded plan’s total capacity.

The amount paid for an upgrade forms part of the active billing cycle and is treated accordingly if the subscription is subsequently discontinued.

Additional capacity purchased for an active billing cycle is also associated with that billing cycle and does not roll over into a future cycle.

12. If The Shape Interiors Cannot Continue

If The Shape Interiors is unable to provide or complete an agreed service for a reason attributable to us, we will assess the work already completed and provide an appropriate resolution.

Depending on the circumstances, this may include completing or correcting the service, rescheduling the work, providing an appropriate credit, or refunding an eligible unearned balance.

The appropriate resolution will depend on the stage of the project, the work already delivered and the portion of the agreed service that remains outstanding.

Our intention is to resolve such situations fairly rather than applying a blanket outcome regardless of the circumstances.

13. When We May Discontinue an Engagement

A professional relationship works best when communication and responsibilities are respected on both sides.

The Shape Interiors may suspend or discontinue an engagement where circumstances make it impractical or inappropriate to continue. This may include persistent non-cooperation, non-payment of amounts due, abusive or inappropriate conduct, misuse of our work, repeated failure to provide essential project information, or material breach of the agreed terms.

Where an engagement is discontinued in these circumstances, any financial settlement will take into account the work already completed, professional time and resources already committed, payments received and the circumstances leading to discontinuation.

Discontinuation by The Shape Interiors does not automatically mean that all payments already made become refundable.

14. Scope Changes & Revisions

A request to substantially change the confirmed project does not constitute cancellation of the original work.

New spaces, substantially different requirements, a new concept or a different design direction may be treated as a change of scope and may require additional pricing and a revised timeline.

Eligible design projects include two complimentary revision rounds within the original confirmed scope, subject to the revision terms and 40-calendar-day revision window described in our Service Policy.

For regular projects, additional revisions beyond the included rounds may be quoted separately.

For subscription projects, additional revision work may be accommodated through an agreed deduction from the subscriber’s available capacity.

15. Refund Method & Processing

Where a refund is approved, we will confirm the eligible refund amount and applicable processing method with you.

Refunds are generally returned through an appropriate available payment method. Actual receipt times may vary depending on the bank, financial institution, payment provider, country and payment method involved.

Any bank charges, currency-conversion differences, transfer fees, withholding obligations or other third-party costs associated with the original payment or refund may affect the final amount received where those amounts are imposed independently by a bank, payment provider or relevant authority.

The Shape Interiors will not intentionally withhold an amount that has been confirmed as an eligible refund, subject to any legitimate deductions described in this policy or agreed terms.

16. Payment Disputes

If you believe a payment, cancellation or refund has been handled incorrectly, please contact us first so we can review the transaction, project status and applicable terms.

We will assess the matter against the service purchased, work completed, payment history and policies accepted in connection with the transaction.

Our aim is to resolve genuine payment concerns clearly and professionally.

17. Policy Acceptance

Before completing an online payment, you will be required to actively confirm your acceptance of the policies applicable to your purchase.

By making a payment to The Shape Interiors, you confirm that you have read, understood and agreed to our Terms & Conditions, Service Policy, Refund & Cancellation Policy and Privacy Policy, together with any applicable Proposal, Invoice or service-specific terms presented before payment.
